A Practical Guide to Sharing PDF Files More Safely

Use clear access rules, sensible filenames, and the right protection before sending an important document.

Sending a PDF is easy. Sending the correct version to the correct people, with an appropriate level of protection, takes a little more care.

Classify the document

Decide whether the file is public, internal, confidential, or regulated. That decision should guide the delivery channel and access controls.

Choose a sharing method

Email works for simple low-risk files. A controlled link is better when access may need to expire or be revoked later.

Protect the final copy

Remove comments, review redactions, flatten fields when appropriate, and use a descriptive filename before sharing. Keep the source file separately.
